Club Administration System (CAS)

The 41 Club database, called the Club Administration System (CAS) is now fully up and running. This means that club officers and members can now log in using their own e-mail addresses. No passwords are required, unlike with the former CAS. 

How to log into CAS

  • Go to the menu bar above, and click on CAS on the right-hand side.
  • Enter your e-mail address, which should be the same as the one on your member record in CAS
  • Click on Send Secure Link
  • Go to your e-mail inbox, and await a message entitled Secure CAS Login
  • Open the message and click on the embedded link to access the details for your club
  • The CAS Welcome page should open up

Club Officers - How to Add a New Member

  • Log into CAS as explained above
  • Click on Members, which is the third option from the left.
  • Go to Register a New Member and click on it. A form with various fields should open up.
  • Add the title, first name, last name, telephone numbers and e-mail address of the new member in free text.
  • To add the address, go to the Address Search field, and enter the postcode. Select the house address from the drop-down choices that appear. The house address details will then populate.  Please do not try to enter the whole address as free text as most of the address fields are greyed out and won't allow free text input.
  • Select the preferred method of contact. In the vast majority of cases, this will be by e-mail.
  • There is an option to enter Date Joined, although this information is not essential.
  • Select the number of magazines required. If no paper copy required, select 0 from the drop-down options.
  • Date of birth - this is only required if the member is under 45 years of age. This is because all those under 45 are not subject to annual capitation.
  • Honorary Member - this will be No, apart from the few Association Honorary members.
  • Please note that there is no way to distinguish Invited Members, i.e. those who were not previously in Round Table. For the purposes of CAS, they are simply members.
  • Go to the bottom and click on Add New Member in the blue rectangle.

Club Officers - How to Delete a Member

  • Log into CAS as explained above
  • Click on Members, which is the third option from the left.
  • Find the member who you wish to remove and select Delete
  • The member is then deleted from the database and will receive no further communication from 41 Club. They will also be removed from the list of Total Registered Members.

Club Treasurers - How to View Capitation and Pay Invoice.

  • Log into CAS as explained above.
  • Select Capitation, which is the third option from the right. Here you can see the capitation history for your club, and what has been paid over the last ten years. This is based on the number of declared members in your club as at 1st January of each calendar year.
  • To view and pay the invoice, go to Payment, on the right-hand-side of the menu bar. This gives an overview of the current year's capitation and how to pay.
  • To view the invoice with more detailed information, click on the blue rectangle Create New Capitation Invoice and a PDF invoice will open in a new window. This can then be downloaded and either printed or saved.

Club Officers - How to Change Officers, usually after an AGM.

  • Log into CAS as explained above
  • Select Officers, which is the option in the middle. 
  • Five Officer positions will appear, with the names of the current members holding those positions.
  • To change officers, select the new officer from the drop-down list of members. Please note that it is not essential to select an officer for every post, although at least one officer with an e-mail address is required as the Contact.

Club Officers - How to Amend Member Details

  • Log into CAS as explained above
  • Click on Members, which is the third option from the left.
  • Go to the member whose details you wish to edit.
  • Edit the member's details as appropriate.
  • Click on Update Member in the blue rectangle

Club Members - How to update your own details

  • Log into CAS as explained above
  • Click on Members, which is the third option from the left.
  • Find yourself in the list of members and click on Edit. Your information screen should open up.
  • Update your details as appropriate. To update your address, go to the Address Search field, and enter the postcode. Select the house address from the drop-down choices that appear. The house address details will then populate. Please do not try to enter the whole address as free text as most of the address fields are greyed out and won't allow free text input.
  • Click on Update Member in the blue rectangle

Club Members - How to stop your paper copy of the 41 Club Magazine

  • Log into CAS as explained above
  • Click on Members, which is the third option from the left.
  • Find yourself in the list of members and click on Edit. Your information screen should open up.
  • Go to #of magazines and select 0 from the drop-down
  • Click on Update Member in the blue rectangle.
